This is an exciting opportunity to join Africa’s leading independent data, voice and IP provider, as a Travel Coordinator in a hybrid role. As Travel Coordinator you will manage travel arrangements and coordinate itineraries, as well as review transactions and statements, and assist with ad hoc reception duties when required. The ideal candidate will have at least six months’ experience in a coordination role, alongside solid knowledge of the Microsoft Office suite to be considered for the Travel Coordinator role.
  
Responsibilities:
  • Arranging accurate travel bookings for all UK staff, staff travelling to the UK and some group staff and ensuring compliance with the company travel policy
  • Arranging up to (and sometimes more than) 20 separate itineraries at one time and coordinating arrangements with international offices
  • Overseeing itineraries and making necessary amendments or cancellations when needed
  • Making payments for hotels and transfers – if no account with hotel using a 3rd party credit card form or requesting a bank transfer from finance
  • Tracking costs and ensuring travel expenditure is minimised as much as possible
  • Maintaining a good relationship with hotel account managers and the transport agency Midas and requesting or looking for the best rates and fares
  • Arranging airport transfers when needed for staff traveling to London and for UK staff upon arrival at their destination
  • Assisting HR in writing visa invitation letters for visitors to the UK
  • Ensuring that UK staff have travel insurance with the relevant level of cover before travelling internationally
  • Reviewing AMEX and NATWEST statements for all UK staff monthly and preparing spreadsheets to examine correct transaction sums
  • Ensuring staff provide relevant invoices and receipts for all charges and cost codes are entered correctly
  • Covering reception when receptionists are absent and assisting with ad hoc reception duties when needed
  
Essentials:
  • Educated to A level standard and previous experience of working in similar role
  • Experience of foreign travel procedures and itinerary planning
  • Good knowledge of Microsoft Office applications including Outlook, Word and Excel
  • The ability to organise and prioritise own workload to meet specified deadlines
  • Ability to advise, guide, negotiate businesses to adopt travel plans
  • Ability to collate, analyse and interpret information from a variety of sources to solve problems or develop solutions
  • Effective working with outside organizations to communicate with individuals and groups, both verbally and in writing
  • Strong written and oral communication skills and exceptional attention to detail
