Head of Division Support & Improvement
The Division Support and Improvement Team is a centralised service providing essential support and advice to the Estates and Facilities department of the University on matters relating to recruitment, learning and development, mandatory training, discipline, absence and welfare.
This department team are also responsible for the delivery of process innovation and continuous improvement initiatives across Estates and Facilities. In addition, the service co-ordinates the administrative needs and functions across the wider department to promote internal communication along with the professional sharing of information and statistical data.
This will initially be a 3 month temporary assignment with potential to extend

Responsibilities:
- To lead the Division Support and Improvement functions on behalf of the EAF overseeing the services of Support, Systems, Communications and to develop the department approach to customer service
- Responsible for engaging with a diverse range of colleagues within and beyond the wider areas of the business to manage the delivery of key transformation projects and work streams, ensuring that strategic objectives are translated into coherent plans for delivery.
- To develop and implement service improvement activities across the department through employing process improvement methodologies and working with other team members to devise new support material based on revised processes
- Responsible for leading on management reporting through Power BI and systems enhancements as part of the Strategic Systems Steering Group and lead on regular dissemination of management and statistical information internally to management and staff within the department and externally as may be required for decision making
- To lead on the development and creation of a high quality web presence for the individual EAF services and the department as a whole; to manage the development and maintenance of the non-commercial website and webpages ensuring that content is written accurately and appropriately for the audience
- To effectively support and advise line managers on HR processes and act as an interface with HR on employment issues including, but not limited to staff recruitment, selection, induction, probation, performance management
- To develop clear SLA’s for all services so customers can clearly see the services that
- will be provided and to present regular reports on delivery of services based on agreed SLA’s/KPI’s
- To work closely and maintain effective relationships with other Professional Service providers which impact on the service of the department, such as HR, Occupational Safety and Health, Finance and Management Accounts and IT to analyse and develop solutions to problems in service areas
- To provide a strategic overview across all matters of equality, diversity and inclusion, and making recommendations to Senior Management Team and monitoring the successful implementation of the departments Key Performance Indicators. In doing so, taking accountability and responsibility for overseeing the successful delivery of the department EDI action plan
- Deliver and monitor progress on the department wide EDI Action Plan, developing plans that are in place to meet Strategy 2030 EDI KPI’s through training, processes and continuous improvement
- Excellent organisational skills and the ability to balance conflicting priorities and meet deadlines
- Proven ability to develop partnerships and liaise externally, quickly establishing trust and credibility
- Ability to conduct honest, constructive work relations at a senior level, operating with integrity
- Extensive experience in a senior management role within a large organisation and/or a multi-functional department
- Strong staff leadership and motivational skills, including experience of line managing a team
- An up to date understanding of generic HR policies and/or employment law
- Experience of leading and managing effective service delivery including a strong commitment to a customer centred service culture and a passion for providing excellent service
- Excellent project management skills and experience of contributing towards operational and strategic planning
- Experience of working with and controlling budgets, delivering cost reductions with an understanding of financial management procedures
- Excellent verbal and written communication skills, including report writing
- Proven ability to establish effective working relationships with professional and academic colleagues, with a proven experience of strong interpersonal skills
- Proficient in the use of Microsoft Office
